Pet documents arrive in different places: a paper after a visit, a PDF by email, a photograph on your phone. Over time it becomes hard to identify the right version. A useful file is not simply everything scanned. Keep important items, connect them to the right pet and give them understandable titles.
Start with identity and administrative records
Gather identity and identification documents you hold, plus relevant records about your pet’s origin or arrival. Check that each belongs to the correct pet. In a multi-pet home, a filing mistake can spread into exchanges with sitters or professionals.
The PetStorya pet profile gathers identity details. Do not publish identification information by habit: some details stay private and visibility is a choice. A privately stored document should not automatically appear on a public page.
Keep health documents with their context
Save vaccination documents, prescriptions, reports, practice results and written instructions that help retrieve received information. Your veterinarian can explain what to keep and how to read it. Organisation software does not replace that explanation or turn a document into a diagnosis.
In the health notebook, existing private documents can be linked to a vaccination, medication or recorded health report. This makes them easier to find alongside the relevant entry. Linking does not alter the file or automatically build medical history from it.
Organise insurance and expense evidence
Keep available insurance contracts and supporting papers, then record known references and dates. PetStorya organises these details; it does not interpret coverage, decide claims or automatically submit them. Follow your insurer’s instructions for those matters.
Keep relevant invoices and receipts and link them to the corresponding expense when using that feature. A file need not be uploaded repeatedly merely to connect several records. Always check pet and expense. Banking details and passwords do not belong in notes or titles.
Make readable digital copies
A well-framed scan or readable PDF is better than a blurred picture. Check every page, orientation and cropped edges. Avoid glare and missing text. Open a file once before storing it: presence alone does not mean it is usable.
Use simple titles, such as document type, pet and a useful date. Do not put every sensitive detail in filenames. Keep originals required for formalities and copies of important papers. Digital organisation helps retrieval; it is not a reason to discard all paper.
Use private storage within plan limits
PetStorya separates private documents from profile and memory media. An invoice or prescription is not a walking photograph. Private downloads require access rights. Uploading does not automatically publish a file; a public profile does not open the entire dossier.
The catalogue allows zero new private documents per pet on Free, twenty on Plus and one hundred on Premium. Compare plans against useful volume. Downgrading does not automatically delete existing documents, but new additions may be blocked above quota.
Share a selection for a particular purpose
A veterinarian and a sitter need different documents. Temporary health sharing is read-only, time-limited and revocable, with rules for eligible files. Invoices and financial documents are not exposed through it, even when an expense concerns a consultation.
Care mode lets you explicitly choose documents for the sitter. Select those relevant to the stay, check dates and review the selection. An appropriate link is different from sharing your password or account.
Maintain the file and understand exports
After a visit or renewal, add useful documents and clarify versions. Clear contextual titles often help more than complicated folders. PetStorya financial exports produce a ZIP with structured data; including documents depends on the plan. They are not a PDF export of the entire health notebook.
Create your pet’s profile for free, then choose a suitable plan if you need private documents. Start with records you search for most often: a useful file grows gradually.
