The PetStorya journal

How can you organise your pet’s veterinary expenses?

Keep dates, categories, invoices and reimbursements clear without turning your pet’s file into accounting software.

After several visits, it can be hard to remember what you paid, which invoice relates to which care and whether reimbursement was recorded. A simple system makes this clearer. Your pet’s notebook need not become accounting software: keep reliable records of entered costs, useful receipts and context.

One expense, one pet, one date

Assign each expense to the right pet and date. Use a label you will recognise and add the provider if useful. With several pets, “vet” alone is vague. A short description distinguishes nearby visits.

PetStorya includes categories for visits, vaccinations, medication, examinations, surgery, hospitalisation and other everyday costs. Choose the appropriate category and remain consistent. Classification helps when comparable entries do not need reinterpretation.

Record what was actually paid

Copy the amount from the receipt and check it. Do not present an estimate as a confirmed expense. PetStorya expense entries are explicit: a health visit does not automatically create an invoice. You control what is recorded.

Some health notebook entries can prefill an expense draft. Review details and enter the amount before creating it. Linking a vaccination, medication, appointment or health record preserves context without assuming a payment from the medical event.

Attach a readable invoice

If you use private documents, upload a readable receipt and link it to the relevant expense. Check all pages and use a clear title. A blurred or incomplete copy remains difficult to use digitally. Keep originals needed for formalities and important records.

Invoices stay private rather than appearing in public profiles or journals. Financial documents are excluded from temporary health sharing, including consultation invoices. Medical sharing therefore does not automatically disclose costs or administrative evidence.

Separate claims, decisions and received reimbursement

An invoice sent to an insurer is not yet reimbursement. PetStorya stores the status, reimbursed amount and references you enter. Track your actual file instead of recording a presumed payment as confirmed. Update it when information is verified.

Out-of-pocket totals depend on entered amounts. They do not automatically calculate what your insurer owes. A contract’s percentage does not replace coverage terms. Ask the insurer or an appropriate professional about interpretation or disputes.

Keep the insurance contract connection

You can store policy details and link an expense to a relevant policy for the same pet. Enter references, dates and available documents carefully. This is private administrative organisation: PetStorya does not sell integrated insurance, assess care eligibility or automatically submit reimbursement requests.

For an older policy, retain historical information and check its status. Do not replace a past reference with a new policy solely for consistency. Expenses should remain understandable in their original context.

Review the annual summary

The annual summary gathers recorded amounts and categories. Filters help locate a year, provider, category or reimbursement status. This view shows entered information and missing evidence; it is not a full budget if costs were never added.

A short monthly review may be enough: check new entries, confirmed reimbursements and receipts. Choose a realistic rhythm instead of reconstructing an entire year. Regular additions keep the file usable.

Export what is actually available

PetStorya annual financial exports create a ZIP containing CSV files, a summary and an explanatory file. Download is available after preparation. Eligible document inclusion depends on the plan; files must be explicitly linked to selected expenses or policies. This is not a PDF of the whole health notebook.

Plans define expense, document and export limits. Free helps you start; Plus and Premium provide more space. Exports are not certified accounts. Create your pet’s profile for free and enter a few recent expenses to build a clear, useful private overview.
